How this works

What it means

Your estimated earned leave accumulation since joining — total service, leave earned, leave availed, and your resulting current balance.

How it’s calculated

Leave earned is prorated from your total elapsed service using your entered Annual Leave Entitlement — the same days-of-service ÷ 365.25 proration idiom used elsewhere on this site (e.g. the Retirement Pension Calculator's qualifying-service figure). Current balance is leave earned minus leave already availed.

Common Defence use cases

Estimating your accumulated earned leave balance without pulling up your official leave account, and sanity-checking a balance figure quoted elsewhere.

Formula

Total Service Days = days between Date of Joining and Current Date Leave Earned = (Total Service Days ÷ 365.25) × Annual Leave Entitlement Current Leave Balance = Leave Earned − Leave Already Availed

Assumptions

  • This is a simplified, illustrative estimate only — always verify against your official leave account.
  • "Annual Leave Entitlement" is entered by you rather than assumed, since accrual rates and crediting conventions (e.g. the commonly-cited 30 days/year credited in two 15-day instalments for central government civilians) vary by organisation and service — Version 1 does not hard-code a rate.
  • Uses a smooth day-based proration rather than modeling actual half-yearly crediting instalments, carry-forward ceilings, or year-end lapsing rules that may apply to your specific leave account.
  • Does not distinguish leave types (earned vs half-pay vs casual) or model organisation-specific accrual exceptions.
  • If Leave Already Availed exceeds the prorated Leave Earned, the resulting balance is shown as negative with an explanatory note — this reflects the simplified model, not necessarily an error in your actual leave account.

Example calculations

Joined 1 January 2020, current date 1 January 2026 (6 years), entitlement 30 days/year, 100 days availed

Leave Earned 180.0 days — Current Leave Balance 80.0 days

Joined 1 January 2024, current date 1 January 2026 (2 years), entitlement 20 days/year, 50 days availed

Leave Earned 40.0 days — Current Leave Balance -10.0 days (more availed than this model estimates as earned)
